Anything under four emails you straight away, while you can still ring them. You hear it from your customer instead of reading it in public.

You wrote none of it. The first text goes out the moment you book the job in, and it can only ever go once — re-assigning the crew or double-clicking the button cannot send a second one. The page then keeps itself up to date as the work moves. Names and times here are examples.

Phone agent

Picks up the phone in a real voice and holds an actual conversation — barge-in, natural pauses, no menu tree. It checks your live availability and books the appointment before the caller hangs up. If a call ever fails on its way in, or somebody hangs up during the greeting, they get a text straight back rather than nothing.

Callers know within a sentence that it is not a person. In practice that matters far less than being answered at 8pm, but it is true, and anyone who tells you otherwise is selling.

Enquiry responder

Someone fills in the form on your website at ten at night. Before they have closed the tab they have a text and an email back from you, and your phone has pinged. The enquiry is already saved as a contact with a job on your list against it.

This one answers the moment an enquiry arrives — it is not a long chase. It will not keep working a quote that has gone quiet for three weeks; that is still you, or the phone agent, picking up the phone.

Reactivation rep

Calls through a filtered list of past customers — everyone who bought a service a year ago and never came back — and books the ones who are interested. Runs as a campaign you can stop mid-flight.

This is outbound calling, and it carries obligations. Consent is checked per call, calling hours are enforced in the customer's own timezone, and it is off until you deliberately turn it on.

Reputation manager

Asks for the Google review at the one moment people actually leave one — right after the job is marked paid. By text or WhatsApp, once, with a 90-day cooldown so nobody is ever asked twice.

It asks; it cannot make anyone write anything. Businesses doing poor work get fewer reviews, faster. That is the mechanism working, not failing.

Quality manager

Every finished job asks the customer how it went, on the same page they used to follow the work. Four or five out of five and you know you are fine. Three or below and you get an email straight away, while you can still ring them — before it becomes a public review.

It finds the unhappy customer; it cannot make them happy. What you do in the hour after that email is the entire value of it.

The switch that matters

You do not have to let it send anything.

Every conversation has three settings. Auto replies on its own. Suggest writes the reply and waits — you read it, edit it, send it, and nothing leaves without a human pressing the button. Off is silent. You can set it per conversation, so a nervous first fortnight on Suggest costs you nothing and tells you exactly how good it is on your own customers before you trust it with one.

It will not text at midnight

Answering-service rate is Spark's published Business Receptionist Plus pricing and the wage is the Tahatū careers-service figure, both checked September 2026. A good receptionist is better than this at the things people are better at. They also cannot answer at 11pm, and they do not raise the invoice on the way home.

Common questions

The things people actually ask

What happens when it does not know the answer?

It says so, takes the person's details, and creates a task for you with the whole conversation attached. It is instructed not to guess at prices, availability or anything it has not been told, because a confident wrong answer is worse than no answer.

Will my customers know they are talking to AI?

On the phone, most will work it out quickly. It does not pretend to be a named person and it will say it is an assistant if asked directly. What customers consistently care about more is that somebody picked up at all, and that the answer was right.

Can I stop it from sending anything until I trust it?

That is how it arrives. Every channel starts in Suggest mode, which drafts each reply and sends none — you approve or edit them one at a time. It stays that way until you deliberately switch a channel over, and you can switch them one by one rather than all at once.

Do I need a new phone number?

Not for your calls. You forward the number you already advertise and it answers there, so nothing on your van, your signage or your Google listing has to change. Texts and WhatsApp go out from a messaging number that comes with your account, because New Zealand carriers will not let one local number do both.

Why is it more than the ones charging $99 a month?

Because they answer the phone and stop. Every package here also quotes the job, books it, raises the GST invoice, keeps your customer told where it is up to, asks for the Google review and surveys the work when it is done. If all you want is somebody to pick up, the cheaper ones are honestly fine and we would rather you knew that. If what is actually costing you money is the hour every night doing paperwork, that is the half they do not sell.

Does it connect to Xero?

Not yet, and that is the honest answer rather than a roadmap deflection. BossAI raises GST-correct tax invoices and tracks what is paid, but reconciliation back into your accounting software is manual today. If your bookkeeping cannot absorb re-entering what BossAI invoices, this is the thing that will annoy you — decide that before you start, not after.

Does it sync with my existing booking system?

Not currently. BossAI has its own booking calendar and the AI books into that. If your staff already depend on a booking system, that is a real conflict: running two calendars is worse than running one badly. You can subscribe Google, Apple or Outlook to the BossAI calendar so the bookings show up alongside everything else, but that is a read-only feed, not a two-way sync.

How do you charge?

Three packages, all priced on this page, all month to month. You pay by card and cancel whenever you like. There is no quote, no scoping call and no minimum term — the price you can see is the price you pay, and call minutes over your monthly allowance are 60 cents each on every package, so the cheaper one is not the one with the dearer overage.

What if it does not work for my business?

On the Office packages, if it has not booked you a job in your first 30 days, email us and that month comes back. We would rather refund one month than argue with somebody it did not suit. The Phone package does not carry the guarantee — at that price a refunded month is most of what we make on it — but it is month to month like the others, so the most you can lose is the one month.

How long does it take before it is answering?

The setup questions take most people under an hour, and it starts drafting replies as soon as you finish them. Getting your phone calls to it is the one step on your side — you forward your existing number, which takes a couple of minutes with your carrier and does not change the number on your van or your Google listing.

There is no salesperson. What if I get stuck?

That is deliberate — the setup is questions you answer yourself, so there is nobody to wait on. If something is genuinely wrong, email us and a person answers. What we do not do is a sales call, because nothing about this needs one.

What if I want to turn it off?

Any channel can be switched off instantly and calls go back to ringing as they did before. Your contacts, conversations, quotes and job history are yours and export as CSV at any time.
